Job Description

Director of Records & Technology

 

The Director of Records & Technology is a fulltime exempt position.  The Director of Records & Technology provides computer data entry support to the Vice Presidents and their staffs.  This position also provides Games Management System (GMS) support to the staff and area directors as needed.

 

REPORTS TO:  Vice President of Program

 

QUALIFICATIONS:  Experience in data entry preferred.  Must be proficient in use of Microsoft Office and be willing and able to quickly learn software specific to Special Olympics i.e.: GMS and VSys (volunteer management).

 

DUTIES:  The following examples are intended only as illustrations of the duties of the Director of Records & Technology.  The absence of specific statement of duties does not exclude these tasks from the position if the work is similar, related to or a logical assignment of the position.

 

Overall Duties

 

·      Support the VP of Program with all state competitions.  This involves data entry, heat sheets, registration, name tags and award labels.

·      Responsible for athlete physical/release data, keeping GMS up-to-date to be ready for each state and area competition.

·      Contact coaches to obtain current physical/release forms for their athletes before competitions.

·      Maintain a list of coaches for the newsletter mailing list, handbook mailing list, email mailing list and for each state competition.

·      Travel to state competitions and work with the volunteers at venues to help the competitions run efficiently.

·      Prepare and send Delegation Reports to every coach following area competitions.

·      Answer coach and area director questions and provide assistance as needed.

·      Maintain athlete participation census data.

·      Provide training and assistance to staff and Area Directors on the operations of GMS.

·      Other duties as assigned by the VP of Program or the CEO.
